How to Set Up a Send Email Connection in OttoKit

This guide will walk you through the process of creating a Send Email connection in OttoKit, enabling you to send automated emails through your preferred email provider.

Prerequisites

Before setting up your Send Email connection, ensure you have:

  • An active OttoKit account
  • Access to your email provider’s SMTP settings
  • Valid email credentials for the account you want to use for sending emails

Step 1: Navigate to the Apps Section

  • Log in to your OttoKit platform
  • Navigate to the Apps section from the main dashboard
  • Click on Create new connection

Step 2: Search for Send Email

  • In the connection creation interface, search for “Send Email.
  • Select the Send Email app from the search results

Step 3: Configure Connection Settings

You’ll need to fill in the following important information to establish your Send Email connection:

Required Fields:

Title for this connection

  • Enter a descriptive name for your connection (e.g., “Gmail Business Account” or “Support Team Email”)
  • This helps you identify the connection when setting up workflows

Host Name

  • Enter your email provider’s SMTP server address
  • This is provided by your email hosting service

Username

  • Enter your complete email address (e.g., [email protected])
  • This is the email account that will send the emails

Password

  • Enter your email account password or app-specific password
  • For enhanced security, many providers require app passwords instead of regular passwords

Use TLS

  • Select whether to use TLS encryption (recommended for security)
  • Most modern email providers require TLS to be enabled

Port

  • Enter the SMTP port number provided by your email service
  • Common ports include 587 (TLS), 465 (SSL), or 25 (unsecured)

Example: Gmail SMTP Configuration

Gmail SMTP Settings:
  • Title for this connection: Gmail Account
  • Host Name: smtp.gmail.com
  • Username: [email protected]
  • Password: [Your app password – not your regular Gmail password]
  • Use TLS: Yes (enabled)
  • Port: 587
Important Notes for Gmail:
  • You must use an App Password instead of your regular Gmail password
  • Two-factor authentication must be enabled on your Google account to generate app passwords
  • To create an App Password: Go to Google Account Settings > Security > App passwords > 2-Step Verification > Scroll down to Generate new password

Step 4: Test Your Connection

  • After filling in all required fields, click “Connect Send Email”
  • OttoKit will verify that it can successfully connect to your email server
  • If successful, you’ll see a confirmation message
  • If the test fails, double-check your settings and credentials

Troubleshooting Common Issues

Connection Failed
  • Verify your SMTP settings are correct
  • Check that your email provider allows SMTP connections
  • Ensure you’re using the correct port and TLS settings
Authentication Failed
  • Confirm that your username and password are correct
  • For Gmail and other providers, ensure you’re using an app-specific password
  • Check if two-factor authentication is properly configured
Security Restrictions
  • Some email providers block SMTP access by default
  • Enable “Less secure app access” if required (not recommended for production)
